Booking Conditions
- The suitability of the facility for the intended purpose is the responsibility of the hirer.
- The maximum hire period is from April 1st to March 31st.
- Once the booking is confirmed, the Hirer will be charged for all the dates indicated on the form unless 7 days notice of cancellation is given. Written notice of cancellation is required for a block booking.
- All booking applications must be made in writing on the official Booking Form.
- The Hirer must be over 18 years of age
- The full fee in respect of any booking must be paid in accordance with the method agreed on the Booking Form no less than 1 day before the actual date of the booking. Payment for season bookings must be paid within 28 days of booking. Payment for single bookings must be paid within 14 days of booking.
- Cancellation
- In the event of a booking being cancelled by the Hirer, 7 days notice is required if the Hirer is not to be charged the full hire fee
- In the event of a block booking being cancelled by the Hirer, 7 days notice is required if the Hirer is not to be charged the full hire fee
- In the event of the Hirer giving written notice of the cancellation of a block booking – thus cancelling the hire of the facility before the end of the agreed hire period – the hirer shall not be guaranteed the same facility on the same day and at the same times should they wish to re-apply for the same block booking at a later date.
- In the event of the facility being required for any purpose connected with a national or local emergency or election on any day on which the facility or part thereof is hired, the Pavilion Management Committee reserves the right to cancel the hiring upon the refund to the hirer of all hiring fees in respect of the day or days for which the hiring shall be cancelled by the Pavilion Management Committee. The Committee’s decision as to whether the facility is required for any of the aforesaid purposes shall be final and conclusive and the hirer shall not be entitled to any compensation for loss or damages (whether direct or indirect) as a result of such cancellation by the Committee.
- The hirer shall not use the facility for any purpose other than that indicated on the Booking Form and consequently accepted by the Committee.
- The maximum number of persons to be admitted to any activity/event shall be stated by the Committee representative (if applicable) upon confirmation of the hire by the Committee.
- No special staffing provision shall be made by the Committee to accommodate the hire of the facility. The hirer shall provide at their own expense all additional labour requirements and shall provide adequate staff for proper supervision of the event/activity and the issuing and receiving of tickets to the facility (if applicable).
- No provision for a licence to sell or consume alcohol on the premises is associated with any booking. It is the responsibility of the Hirer to ensure that all licence requirements are applied for and in place for the date of the booking.
- For Pitch Hire booking, users are responsible for insuring that the pitches are suitable to use, before using them. the Committee is not able to guarantee pitch availability at all times
- The Hirer shall leave the facility in the condition in which it was made available to them. The Pavilion Management Committee reserves the right to administer any additional charges that it deems reasonable for cleaning and repair following the Hirers use of the facilities. The currrent charge from May 1st 2023 will be £300.
- The Committee reserve the right of admission to any disruptive individuals (No refunds will be given).
- The Hirer shall be responsible for maintenance of good order and discipline at the facility.
- The Hirer shall be responsible for insuring all of their own equipment brought onto the premises and will be responsible for any personal injury or damage caused to the Pavilion property or fixtures by any person, equipment or exhibits brought onto the premises by the Hirer.
- In the event of a breach of any of the foregoing conditions by the Hirer or their employees, agents, licensees or invitees, the Committee reserves the right to cancel the booking forthwith by giving written notice to the Hirer or their representative and in doing so the Committee shall not be liable to refund ay portion of the hiring fee to the Hirer or be liable to the Hirer or to any third part for compensation in respect of such a cancellation
- The Committee shall not be held responsible for any loss or damage to any property or any injury sustained during hiring of the facilities, arising from any cause whatsoever, or for any loss due to any breakdown of machinery, failure of supply of electricity, internet, leakage of water, flood, fire, riot, government restriction or act of God which may cause the premises to be temporarily closed or a function interrupted.
